For Calgary schools, language programs & charities

Your school or nonprofit's website is the tip. Your volunteers are the iceberg.

Enrolment, tuition, donation receipts, teacher hours and parent messages all land on a few volunteers, usually at night. I build a calm public site and the system beneath it, the same one that runs Calgary Mandarin School. You own all of it.

Calgary Mandarin School website
Calgary Mandarin School: site, registration, tuition, teacher portal and donation receipts.

Most schools don't need more volunteers. They need fewer spreadsheets.

It's Sunday night. A parent asks if her e-transfer landed. A donor wants a receipt for his taxes. A teacher texts her hours. Each one lands on a person. Here's what moves underneath instead.

01 Registration & tuition

Families enrol and pay in one go.

One online form per term. Tuition is collected at sign-up, the student lands in the right class, and the family gets a receipt on their own.

Off your plate
  • Matching e-transfers to names in a spreadsheet
  • "Did you get my payment?" in the group chat
02 Donation receipts

The receipt goes out the day the gift comes in.

Official donation tax receipts for a registered charity, numbered and filed, with a clean year-end list for your accountant.

Off your plate
  • Typing receipts one by one in February
  • A binder of receipt numbers nobody else can find
03 Teachers & staff

Every teacher has a portal of their own.

Teachers submit their hours, see their classes and write report cards in one place. The hours flow straight into payroll.

Off your plate
  • Collecting timesheets by text message
  • Building report cards in Word, one student at a time
04 Families & messages

One message reaches the right families, in English or 中文.

Newsletters, class notices and surveys go to one class or the whole school. The bilingual site stays current because you text me and it changes.

Off your plate
  • Copying emails into BCC
  • Three group chats per class

Questions

Is this just a website?

No. The website is the front door. Underneath is an admin that runs enrolment, tuition, receipts, teachers and messages, so your team stops juggling six apps.

We already have a website. Can you work with that?

Usually I rebuild the public site so it connects cleanly to the admin. If yours is solid, I build the back office and wire it in. We decide that on the call.

Our spreadsheet works fine. Why change?

It works because someone holds it together. A spreadsheet records what happened. It can't take a payment, send a receipt or remind a family. The real question is what happens the week that person is away.

Can it issue official donation receipts?

Yes, for a registered charity. That's what Calgary Mandarin School uses. Your accountant still signs off and files the charity return. I keep the records clean and hand them a tidy year-end package.

Does it work in English and Chinese?

Yes. Calgary Mandarin School runs a bilingual site and sends messages in English and 中文. Other languages work the same way.

None of us are tech people.

That's who it's for. Nobody opens a settings menu. You text me, it changes.

Do we own it, or are we locked in?

You own the site, the data and your payment account. Support from $100 a month is for hosting and changes, not a hostage fee. You keep everything if you stop.
